Terms and conditions

• For packages booked online or over the phone, we will process all your travel details and verify availability with the hotel/property owners. Your travel will be confirmed via email and WhatsApp as soon as we receive confirmation from the hotel/property owners.

• Receipt of the advance payment made online via website does neither guarantee nor imply confirmation of the booking. No booking shall be confirmed until the confirmation sent over email. Karthi Travels reserves the right to refuse a booking without giving any reason and shall in that event we return any advance payment received.

• Karthi Travels is under no obligation to furnish a breakdown of the costs involved in a package.

• For all pilgrimage-based travel packages, a detailed day-wise itinerary will be prepared and shared with the customer two days prior to the scheduled trip start date. This is done after the free cancellation cut-off period has ended, ensuring that all bookings, confirmations, and logistics are finalized. This approach allows us to account for factors such as temple entry timings, darshan availability, crowd control regulations, and local conditions, thereby providing a smoother and more reliable travel experience.

• Karthi Travels is not responsible for not transferring you on time as per the itinerary to the tourist sites/temples/monuments because of bad weather, road blocks due to strikes or issues with any political parties/organizations/associations, bad road conditions, and wildlife encounters.

• If customer wants to visit a spot/place more than one time, then the toll charges on the way to the spot/place and the parking fees in the spot/place will be charged extra.

• In the ghat roads, mountainous areas, or when the vehicle remains stationary, the air conditioning system in the vehicle will not be operated to prevent engine overload.

• On the final day of the trip, the customer must return to the designated drop-off location and release the vehicle before 11:00 PM. This allows us to prepare the vehicle for the next customer and ensures the smooth operation of our services. If the vehicle usage exceeds the allotted time limit, additional charges will apply

• In outstation trips, once the vehicle has reached the designated drop-off location, it should not be used for local trips. If the vehicle is used for local trips beyond the drop-off point, our local usage tariff will apply.

• Please note that after the booking, if there are any Hike in Taxes, fuel cost, guide charges etc… by Govt, the same would be charged as extra.

• If the pick-up is before 5:00 AM or the drop-off is after 11:00 PM, the customer must pay a fee of ₹600.00 per instance.

• If the customer is traveling to the airport, i.e., for pick-up or drop-off, the parking fee at the airport is not included in the cost. Since the airport/railway parking is based on an hourly basis, the customer must pay the parking fee directly.

• Due to natural calamities, we cannot cancel the booking or change the plan after the pick-up is scheduled.

• Karthi Travels is not liable for any delays or cancellations caused by unforeseen circumstances, including but not limited to natural calamities/disasters, strikes, or governmental actions.

• During tours, unforeseen mechanical issues or air conditioner malfunctions may occur despite regular maintenance. In such cases, we will prioritize finding a feasible solution at the earliest. However, Karthi Travels cannot be held responsible for such incidents and does not offer compensation for mechanical failures.

• Drivers will operate vehicles at controlled speeds to ensure safety and comfort, particularly on hill roads and challenging terrains. Passengers are requested not to insist on speeding beyond safe limits. At the same time, drivers are committed to maintaining an optimal speed, ensuring timely travel without compromising safety.

• If the customer chooses to arrange hotel accommodations independently, it is their responsibility to ensure that the chosen property is accessible via proper roads and offers essential facilities, including toilet and bathroom access for the driver, and adequate parking space for the vehicle. In cases where the approach road to the property is unsuitable or inaccessible for the vehicle, it will be parked at the nearest feasible parking location. Customers are strictly advised not to insist that the driver take the vehicle beyond accessible routes. Additionally, if parking is not available at the property, the customer shall bear the cost of night parking at the nearest available facility.

• For safety and operational reasons, our vehicles may not be able to stop at the exact entry or exit points of certain tourist sites. While we strive to drop guests as close to the designated entry points as permissible, requests to return and pick up customers from exit points may not always be feasible—especially for larger vehicles, due to space constraints and traffic regulations. We kindly request customers to cooperate with the driver’s instructions and understand that such decisions are made in the interest of safety and compliance.

• The distance limits mentioned are based on estimates from Google Maps or MapmyIndia and are approximate. Actual travel distances may vary due to route changes, detours, or individual travel patterns. Any additional distance traveled beyond the estimated limit will be chargeable as per applicable rates. • If the cost includes Tirupati Tirumala Srivari Temple Special Entry Darshan tickets, the advance payment will be non-refundable and Tirumala Tirupati Devasthanam or the agency issuing the tickets reserve the right to cancel or postpone bookings without prior notice in extraordinary circumstances. In such cases, the customer is not entitled to claim damages or compensation. However, the payment will be refunded after deducting any applicable travel charges.

• Any cost arising due to natural calamities like landslides, road blocks etc (to be borne by the clients directly on the spot).

• Any damages caused by the passengers to the vehicle's equipment, windows, interior materials, or other parts must be compensated by the customer.

• The customer are solely responsible for managing their own travel schedule. While we strive to provide timely pickups and ensure smooth journeys, we kindly ask the customer budget for potential traffic delays and unforeseen circumstances, as these factors are beyond our control. Please note that Karthi Travels shall not be liable for any compensation if the customer happen to miss their flight, train, or bus due to delayed pickup, traffic jams, road blockages/diversions, or any other reason during the trip.

• For inter-state travel, customer have to share all the passenger details for applying the inter-state travel permit.

• All disputes arising out of or in connection with the use of this website, our services, or any associated transactions shall be governed by and construed in accordance with the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts located in Vellore, Tamilnadu.

Cancellation Policy

We must be informed if any tour or travel services are cancelled for any preventable or unavoidable causes. Cancellation fees will be applied starting on the day we receive advise and will be as follows:

• Free Cancellation till 3 days before the pick-up date (Travel Start Date - 3 Days) will receive a full refund, after deducting a minimal administrative charge of ₹100.00.
• No refund will be issued for cancellations made within 3 days before the pick-up date.
• Cancellation policies for hotel bookings during peak season may differ from the standard policy.
• All No Shows will be charged as per the booking.

The advance payment is non-refundable if the trip is canceled within 3 days of the start date.

For temple tours, if the booking is cancelled after the itinerary has been created, 10% of the total tour cost will be deducted to cover administrative efforts, reservation coordination, and other preparatory arrangements already made.

If you decide to cancel your trip or cut short the trip after it has begun, your reimbursement would be limited and would also depend on how much money we could get back from the hotels and other service providers we use. We are not obligated to provide a refund for unused hotel accommodations, chartered transportation, missed meals, etc.

If the cost includes Tirupati Tirumala Srivari Temple Special Entry Darshan tickets, the advance payment will be non-refundable after issuing the tickets.

Kindly note that refunds will be processed within 10 working days from the date of cancellation confirmation.
